How to Run WhatsApp Campaigns That Actually Convert

Marketing campaign analytics dashboard

A WhatsApp campaign with a 40% click-through rate is not unusual. The same campaign sent by email might get 2%. The channel advantage is real — but only if you treat WhatsApp like WhatsApp, not like email with a green icon. Here is how to build campaigns that leverage the medium properly.

What Makes WhatsApp Campaigns Different

Email campaigns land in a dedicated inbox people check when they feel like it. SMS sits in a folder alongside bank OTPs. WhatsApp messages arrive in the same conversation thread as messages from a contact's family. The context is inherently personal — which is why open rates hover around 98%, but also why recipients will block your number without hesitation if you abuse that proximity.

Successful WhatsApp campaigns are short, immediate, and personally relevant. They feel like a useful message from someone who knows the recipient — not a broadcast. That framing should guide every decision from template copy to send time to segmentation.

The Four Campaign Types

🛍️

Promotional

Flash sales, seasonal offers, product launches, loyalty rewards. These drive immediate purchase intent and work best with a clear expiry.

🔄

Re-engagement

Win back customers who haven't purchased in 60+ days. Often the highest-ROI campaign type because the audience is already warm.

🛒

Abandoned cart recovery

Triggered automatically when a customer adds items but doesn't complete checkout. Typically sent 30 minutes, 4 hours, and 24 hours after abandonment.

📋

Drip sequences

Multi-message nurture flows sent over days or weeks — onboarding new customers, educating prospects, or moving leads through a sales funnel.

Building Your Campaign: Audience, Template, Schedule

Step 1: Segment your audience

The single highest-impact change most businesses can make is to stop blasting their entire contact list and start sending smaller, targeted campaigns. A flash sale on women's running shoes sent to 500 recent buyers of women's athletic gear will convert significantly better than the same message sent to 10,000 mixed contacts.

In ConvoZap, you can segment by tags (which you apply manually or via automation), last message date, purchase history (via webhook sync with Shopify or your CRM), or any custom field. Build your segment before you write your template — the copy should speak directly to that specific audience.

Step 2: Write the template

Every high-converting WhatsApp campaign message follows the same structure:

The anatomy of a converting WhatsApp message

Hook (line 1)

"Hey {{1}}, your exclusive 24-hour offer is here 👋"

Use the recipient's name. Keep it under 60 characters. No generic openers like 'Dear Customer'.

Value (lines 2–3)

"Get 25% off your next order — today only. Use code FLASH25 at checkout."

State the offer clearly. Include the expiry. One offer per message.

CTA (button)

"Shop Now →"

One button, one action. 'Shop Now', 'Book Now', 'Claim Offer'. Not 'Click Here'.

Step 3: Choose your send time

WhatsApp messages generate their highest engagement within the first 15 minutes of delivery — far faster than email. This means timing matters more, not less. For most consumer audiences, the sweet spots are Tuesday–Thursday between 10:00–11:30 AM and 7:00–8:30 PM in the recipient's local time.

Avoid Mondays (too noisy), Friday evenings (checking out mentally), and weekends unless your business operates primarily on weekends (restaurants, events). For time-sensitive offers, give your audience at least 4 hours to act before expiry.

Tracking and Optimising Performance

Four metrics matter for WhatsApp campaigns:

MetricWhat It MeasuresHealthy Benchmark
Delivery rate% of messages that reached the recipient> 95%
Read rate% of delivered messages opened> 60%
Click-through rate% of recipients who clicked your CTA> 15%
Reply rate% of recipients who replied> 5%
Block rate% who blocked your number< 1% — act immediately if higher

ConvoZap's campaign dashboard tracks all four in real time, updating as messages are delivered and read. If a campaign's read rate is below 40%, the issue is usually the opening line. If click-through is low but read rate is high, the offer or CTA needs work. If block rate exceeds 1%, pause the campaign and review your opt-in quality before sending again.
